Job Summary: 

This position provides administrative support for the Valley Coatings Office Manager, General Manager, Maintenance Manager and Operations Manager.  Responsibilities include routine administrative accounting tasks, as well as project work as assigned.  The nature of this position requires inside contact with company employees at all levels, as well as contact with outside client representatives, vendors, and other business related representatives. The Accounting Administrative Assistant is responsible for accurately invoicing and posting inter-company and custom galvanizing sales and performing purchase order receipts. This position assists the Office Manager with month-end closing functions and serves as back-up for the Office Manager when absent.  The accounting functions include, but are not limited to, accounts payables, accounts receivable, collections, customer maintenance, and month-end closing. The Accounting Administrative Assistant maintains spreadsheet data entries such as zinc usage, dips performed, residual inventories, productivity and labor.  This position analyzes John Day purchases, Fastenal Vending usage and PPE inventory for discrepancies, accuracy and cost savings.  This position coordinates Instructor Led Training for safety and environmental, tracks bio testing and respirator fit testing in LMS and coordinates New Employee Orientation (NEO) training.  Incumbent maintains the Marlin Communication Station, Valley Galvanizing Facebook page and the Valmont Valley Galvanizing Home Page on VO.  The Accounting Administrative Assistant also maintains the Maintenance Connection database for the Maintenance Manager.  Incumbent is expected to wear the appropriate personal protective equipment (PPE) when on the production floor.

Essential Functions/Duties:          

  • Will be trained to be a backup for the Office Manager.
  • Accurately invoice and post inter-company and custom galvanizing sales in Visual Shop and purchase order receipts in QAD.
  • Perform file maintenance and auditing to accounts payable, accounts receivable, vouchered invoices, inter-company orders, and custom orders.
  • Maintain spreadsheet data entry for zinc usage, dips performed, productivity and labor.
  • Identify inefficiencies and cost savings for PPE and consumables from John Day and Fastenal Vending.
  • Responsible for PPE and consumables inventory, stocking levels and purchase order requests to replenish inventory.
  • Issue vouchers for safety boots and safety Rx glasses.
  • Enter and organize data including safety observations, safety perception surveys and LMS training.
  • Monitor and update the Environmental Action Plan, environmental posters and EAP binders when necessary.
  • Maintain Industrial Hygiene files.
  • Create Bright Light Award requests.
  • Assist with group mailings and event planning, to create slides for the Marlin and to assemble other publications and agendas as needed.
  • Maintain job postings, labor law postings and bulletin board correspondence in the break rooms and the Valley Galvanizing Facebook page.
  • Update the Valley Galvanizing Home Page when necessary.
  • Maintain the Maintenance Connection database.

Basic Qualifications (Required):

  • High School diploma and 2+ years of relevant work/educational experience
  • A strong working knowledge of Microsoft Word, Excel, PowerPoint and Outlook
  • Good interpersonal skills and the ability to communicate efficiently and effectively
  • Attention to detail and accuracy while working in a fast paced environment with multiple deadlines and distractions

Preferred Qualifications (Optional):

  • 3-5 years accounting or bookkeeping experience and/or administrative support experience
  • Associate degree or 2 years of undergraduate level schooling in Business Administration or related field
  • An understanding of LEAN manufacturing
