Valmont is currently seeking a highly motivated and talented individual for a Purchasing Administrative Assistant position in the Site Pro 1 Hauppauge, NY location.  Valmont Site Pro 1 is a distributor of wireless communication tower components.  We are seeking a driven individual that will be responsible for assisting our Purchasing Supervisor to ensure accuracy through the Site Pro 1 purchasing function and to assist in cultivating strong vendor relationships.

Essential Functions:

  • Enter purchase orders into system
  • Maintain strong working relationship with vendors
  • Investigate and resolve any vendor issues (price discrepancies, late shipments, short ships, etc) in a timely fashion
  • Enter inventory adjustments while maintaining accurate and detailed records pertaining to any adjustments made
  • Work closely with warehouse managers to maintain inventory accuracy through cycle counting and adjustments
  • Coordinate inter-warehouse transfers

Other Important Details about the Role:

The Purchasing Assistant will work closely with the Purchasing Supervisor to develop a purchasing plan to ensure proper stock inventory levels for his/her assigned vendors. This person will act as a key point of contact for resolving inventory inaccuracies which will often require investigation into the source of the discrepancy. Additionally, this person will assist in updating system with vendor price changes and alerting appropriate team members regarding any changes to product availability. A successful incumbent in this role will be able to develop strong internal relationships within various Site Pro 1 departments: warehouse, sales, accounting, and operations.

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • Associates Degree, in a business or related field
  • Prior experience working in an office setting
  • Minimum 2 years work experience in an office setting
  • Demonstrated strengths in interpersonal skills, including the ability to adapt and professionally communicate with a variety of people via phone and e-mail; as well as interacting in a positive manner with co-workers becoming an integral part of the team
  • Demonstrated proficiency with Microsoft Office Products, especially: Excel, Word and Outlook
  • Self-starter with excellent organizational skills with an ability to handle multiple tasks concurrently while maintaining accuracy
  • The ability to solve complex problems with high attention to detail and work in a fast-paced environment subject to specific deadlines

Highly Qualified Candidates Will Also Possess These Qualifications

  • Experience using an ERP system
  • Bachelor’s Degree in Business or related field

Working Environment and Physical Efforts:

Work is typically performed in an office setting.  The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings.    Environment is fast paced and demanding most of the time.  No travel requirements for this position.  The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer.  The employee is occasionally required to move about the office.  Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 15 pounds in working with large files, binders, and computer equipment.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
