A Brief Summary of This Position:

This position is the main coordinator between Valmont and our OEM’s / representatives and customers in areas of requests for quotations, computing accurate prices, maintaining directed margins, negotiating price and delivery to obtain orders, and handling all quote related issues for our customers.  The key focus areas of this role is to process map the quote process and manage quotes on large and/or unique projects.  This position will also be responsible for providing monthly updates on forecasted margins for multi-month/yearly projects.  Additionally, this position will manage commercial price lists, support RSM and Accounting with bid bond requirements, support RSM with uploading of quotes and submission of WCE info on job tender websites, customer order support and ad hoc projects.  The incumbent will serve as the subject matter expert within the team for quotation management supporting the Canadian region and the single point of contact for all quotation functions from the initial request through final disposition of the completed quotation and any subsequent revision.  The position reports directly to the Manager Customer Administration and is part of a regional team consisting of Regional Sales Managers, Project Administrators, Engineers, Drafters and Field Service Specialists.  The team is responsible for processing specific division related quotations identified through assigned team based regional territories.  In addition, the individual will work collaboratively with a broader cross-functional team to leverage existing best practices, drive process improvements, consistency and standard work across all West Coast Engineering sites. 

Essential Functions:

  • Process quotes on a timely basis and monitor flow through various departments
  • Maintain a complete understanding of the quote entry systems and all the process and procedure changes that occur
  • Insures recommended margin levels be met on all quotations                                                    
  • Coordinate and communicate effectively with all who receive prices or place orders
  • Establish and maintain a reliable working relationship between the regional team, factory and the Agent/ representative
  • Evaluates and re-prices quotes when changes are made or negotiations take place
  • Expeditiously resolve problems as they occur both internally and externally
  • Manage and communicate specifics for all assigned quotations including the initial review and summarization through follow-up activities
  • Establish and maintain customer master files on all assigned accounts to provide timely information, reduce quotation turnaround time, and to maximize accuracy and effectiveness
  • Maintain a cooperative, positive attitude when working with all departments of the company as a customer contact
  • Implement and practice company policies
  • Prepare reports and carry out all special assignments as requested by Manager
  • Participate on various company or divisional teams as needed
  • Provide complete training to other Associate Project Administrator or Project Administrators as needed
  • Be the subject matter expert within the team with respect to quotation processing functions and handling
  • Differentiate process for quotes based on size of the order as well as nature of the product (standard vs custom)
  • Identify quote process improvement opportunities (throughput, simplify, instill appropriate checks & balances, delegation of authority thresholds, etc.)
  • Establish process that clearly integrates this offsite resource with West Coast Engineering
  • Harmonize quote process amongst all West Coast Engineering sites
  • Champion the quote process including bringing Engineering, Operations, and Sales together as needed (ultimately ensuring the RSM is in position to submit final quotes with time to spare)
  • Compile cost estimates, including direct coordination with vendors to ensure we give ourselves every advantage in obtaining the most competitive cost possible
  • Integrate Valley pricing / sourcing personnel to ensure best cost possible
  • Review tender / project websites (MERX, COOLNET, etc.) for transportation related tenders and circling back with potential contractors to ensure we submit a quote to them
  • Research job contracts to see what more we can quote beyond what is initially requested of us
  • Interacting with customer (only as needed)
  • Provide monthly updates on forecasted project margins
  • Manage price list workbooks, their dissemination and cost structure evaluation
  • RSM and order entry support
  • Ad hoc projects and support

Other Important Details about the Role:

The incumbent will coordinate with Pricing, Purchasing and Sales Departments to follow-up, negotiate on quotations, communicate the results and inform the Sales team of potential leads and activities in the various regions.  Information on the quotation must be accurate and complete as this is used for order processing by other departments.

The incumbent will communicate and interact regularly with their regional team as well as all functional departments within the division in order to promote firm and fair customer satisfaction on all issues according to established policies and procedures.  This position deals with department managers on clarification and implementation of policy and procedures.  The variety of individuals and departments may include Sales, Engineering, Drafting, Industrial Engineering, Marketing, Manufacturing, Production Control, Purchasing, Shipping, Traffic, Accounting, and remote manufacturing locations.

Through daily contact, the incumbent acquires a working knowledge of marketing, product engineering, industrial engineering, sales service, traffic/shipping, manufacturing, purchasing, and accounting functions as related to the product.        

The incumbent must be successful and effective in communicating and maintaining a spirit of collaboration with all other departments throughout Valmont to insure the customer and company receive best in class service.

The activity of the incumbent reflects the first contact with the potential customer.  This activity will be fast-paced and at times the incumbent will be working with incomplete or vague information to complete said project.

Because of the large volume of work and fast paced setting, the Senior Project Administrator will be challenged to make decisions without supervisory assistance. 

The incumbent deals frequently with municipalities, vendors, representatives and customers on an individual quote basis and regarding general policies in the area of terms of quotation.

The Senior Project Administrator will be able to fully train other employees as needed.

The Senior Project Administrator is expected to consult with the Manager on a limited basis and therefore, should possess a broad knowledge of departmental and company goals, policies and procedures.  The incumbent should also possess the capabilities of prudent, on-the-spot, decision making.

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • Two or four year degree with an emphasis in Business, Marketing, Construction Management or related field
  • Three years of previous experience in an Associate Project Administrator and/or Project Administrator position with Valmont’s LTCS Division, including proficiency in quotes and customer service roles
  • Previous PC experience a must, including intermediate/advanced level knowledge of Microsoft Word and Excel
  • Professional communication, leadership and interpersonal skills
  • Strong problem solving and decision-making skills
  • High level of attention to detail and knowledge of the project specification requirements as well as a thorough understanding of the end use of the product and the manufacturing processes used to make the product
  • The ability to work in a fast-paced, deadline driven environment
  • High level of proficiency regarding Valmont’s products, quoting process and systems
  • Demonstrated strong interpersonal, verbal, and written communication skills
  • Demonstrated ability to use independent judgment and discretion
  • Demonstrated ability to keep a positive, professional attitude in a fast-paced environment subject to specific deadlines which must be met
  • Must possess advanced problem solving skills, with attention to detail and a number/math orientation

Working Environment and Physical Efforts:

Work is typically performed in an office setting.  The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings.    Environment is fast paced and demanding most of the time.  No travel requirements for this position.  The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer.  The employee is occasionally required to move about the office.  Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 15 pounds in working with large files, binders, and computer equipment.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
