A Brief Summary of This Position:


The Sales Service Assistant is an individual contributor role responsible for supporting the Lighting & Traffic Project Administrators that deal directly with our customers and representatives.  The position will be responsible for order processing which may include items such as: entering new orders, entering and tracking anchor bolt pre-shipments, entering part shortage requests, requesting Proof of Deliveries, entering production part numbers, scheduling orders, determining customer numbers, issuing Invoices, and general filing and E-filing for the Project Administrators.  Backup phone coverage, helping customers and redirecting random phone calls, and overall clerical support is also required.  Also is a primary backup to the other Sales Service Assistants.


Essential Functions:



•         This position reports to the Manager of Customer Administration and has no direct reports or indirect reports


•         Work with Project Administrators daily


•         Enter new orders electronically


•         Assist with customer communication


•         Process and track Ship direct orders as requested


•         Enter part numbers electronically and assist with scheduling orders


•         Provide information on status of in-house orders to Sales Department as required


•         General filing and e-filing


•         Process and track Proof of Deliveries as requested


Other Important Details about the Role:


The incumbent is responsible for special projects as requested by the Manager of Customer Administration.  A continual awareness of job requirements and office environment is helpful.  Being knowledgeable in all Valmont policies can only help the incumbent with their job duties.  The incumbent is frequently called on to sort and prioritize current job requirements and is expected to do so properly without continuous supervision.  Must be able to process orders with minimal supervisory guidance.  Accuracy in order entry, entering part numbers, and scheduling orders is a must.  Must have the ability to see questionable items and investigate and make corrections as necessary.  Inquiries from all sources must be evaluated and referred to for proper and expeditious handling.  An ability to prioritize multiple priorities in a fast paced environment is required.


Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):



•         High School diploma and 2+ years of work/educational experience


•         Clerical experience and knowledge of Microsoft products


•         Defines problems, collects data, establishes facts, draws valid conclusions using independent judgment, discretion, and initiative in performing job duties


•         General office practices including experience with office equipment; i.e. copiers, printers, scanners and computers


•         Strong verbal and written communication skills


•         Ability to prioritize workload and keep an organized work area


•         Ability to work in a fast paced environment subject to specific deadlines which must be met with accuracy and attention to detail


•         Ability to work in and be an integral part of a team environment with many different individuals and multiple priorities


•         Acceptable prior performance and attendance record


Highly Qualified Candidates Will Also Possess These Qualifications:



•         Experience in a customer service or sales or telemarketing position


•         Experience in a manufacturing/technical environment


Working Environment and Physical Efforts:


Work is typically performed in an office setting.  The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings.    Environment is fast paced and demanding most of the time.  No travel requirements for this position.  The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms while working in the office with various files and forms and while working on the computer.  The employee is occasionally required to move about the office.  Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height and proper wrists rests. The employee must occasionally lift and/or move up to 15 pounds in working with large files, binders, and computer equipment.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
