The Project Administrator - Concrete serves as the primary coordinator between the Valmont Utility Concrete Inside Sales team and our customers. This role is responsible for managing quotation requests, processing orders, ensuring accurate and competitive pricing based on management-directed margins, and collaborating with product management on pricing and delivery negotiations to secure orders. The Project Administrator also oversees the ordering and tracking of specialty project-specific hardware and addresses customer service issues as they arise.

Additionally, the role acts as a liaison between the Inside Sales team, customers, and other internal departments (such as engineering, drafting, and operations) to ensure effective communication and resolution of any issues. The Project Administrator – Concrete works closely with Operations to confirm lead times and product availability, and coordinates with other Valmont departments to gather quote details and costs in order to create accurate pricing and quotes for customers.

The Project Administrator – Concrete also collaborates with a cross-functional team that includes Product Managers, Sales Managers, Engineers, and Drafters, to leverage best practices, drive process improvements, and maintain consistency and standard work across all sites. This position requires ongoing engagement with site leadership teams to ensure the timely and accurate delivery of orders, providing customers with up-to-date and reliable order information.

Essential Functions:

  • This position reports to the Project Adminstrator Manager - Concrete and has no direct reports
  • Process quotes for the assigned production facility on a timely basis and monitor flow through various departments
  • Process all orders for the assigned production facility on a timely basis, including maintaining a Project Number Log for the assigned production facility, as well as updating the project information in Valmont information entry systems
  • Release processed orders to engineering/drafting.  Ensure that all orders include a fabrication number, required project delivery date, customer contact information, and completed purchase orders to all vendors for specialty hardware (if required)
  • Provide project status information to customers, when requested
  • Maintain a complete understanding of the quote and order entry systems and all the process and procedure changes that occur
  • Foster positive relationships with Valmont customers, vendors and other parties
  • Coordinate and communicate effectively with internal and external customers, and Valmont business partners
  • Expeditiously resolve problems as they occur both internally and externally
  • Have a working knowledge of the customers needs and requirements to provide proper pricing on the appropriate product and to provide high level of service to all customers
  • Understand revenue goals and objectives and is able to align work processes and tasks to meet those objectives
  • Run and prepare reports to carry out all special assignments as requested
  • Participate on or lead various divisional/departmental teams, continuous improvement teams, or projects
  • Champion the quote and order process including bringing appropriate parties together as needed.  This may include Engineering, Drafting, Operations, Purchasing, outside Vendors, and Sales.
  • This role requires 10% domestic travel, including overnight stays

Other Important Details about the Role:

The role will coordinate with Outside Sales, Valmont Agencies, and Product Management on potential sales leads and activities in the various regions.  This role must be successful and effective in communicating and maintaining a spirit of collaboration with all other departments throughout Valmont to ensure the customer and company receive best in class service and support. 

Required Qualifications of Every Candidate (Education, Experience, Knowledge, Skills and Abilities):

  • Preferred Bachelor’s with 5+ years relevant experience or Associate’s Degree with 7+ years relevant experience or 9+ years of relevant experience
  • Ability to work in a production/manufacturing environment
  • Intermediate/advanced level knowledge of Microsoft Product Suite
  • Professional communication, leadership and interpersonal skills
  • High level of attention to detail and knowledge of the project specification requirements as well as a thorough understanding of the end use of the product and the manufacturing processes used to make the product
  • Demonstrated strong interpersonal, verbal, and written communication skills
  • Demonstrated ability to use independent judgment and discretion
  • Demonstrated ability to keep a positive, professional attitude in a fast-paced environment subject to specific deadlines which must be met
  • Must possess advanced problem-solving skills, with attention to detail and a number/math orientation
  • Ability to work in, and be an integral part of a team environment
  • Ability to understand and analyze engineering details, project plans, and specifications
  • Self-starter with excellent organizational skills in planning and organizing to handle multiple tasks concurrently
  • Excellent customer focus, including positive customer feedback
  • Proven ability driving results, including favorable margins, cycle times, promises kept

Highly Qualified Candidates Will Also Possess These Qualifications:

  • Bachelor’s degree with an emphasis in Project Management, Business, Construction Management or related field
  • Knowledge of Valmont’s products, quote process, order process, and systems
  • Working knowledge of Universe, Sage, IFS, Jira, Salesforce
  • Project Management experience
